How do you know if your property maintenance contractor is delivering services that meet industry-related standards of quality? What assurance do you have that they are working to any quality management system at all?

Quality management systems and principles are important because they assist painting maintenance suppliers with paying the appropriate level of attention to every stage of the production and service delivery process. That part of quality management systems that focuses on instilling confidence that quality requirements will be fulfilled is known as ‘quality assurance' (says the International Organisation for Standardisation (ISO)).

A Quality Assurance Checklist isn’t about just making sure that everything looks good on paper

According to the guys at FTQ360, quality assurance checklists are important tools for setting up expectations for the appropriate levels of quality, safety and service delivery to be reached and maintained during any project. Checklists assist with communication between all involved in a project or task and they improve accountability between stakeholders.

Use the Quality Assurance Checklist below as a guide to help you think through your non-negotiable quality standards

Have a look at our Quality Assurance Checklist to see if there is anything you need to consider when establishing your own quality management system and processes:

Have you established quality metrics?

Quality metrics are used to assess the progress, efficiency, and performance of projects. They also help to define improvement in quality of services or products. You need to consider:

  • What aspects of your project do you want to measure? (This could be safety, quality, customer satisfaction, supplier performance and the likes.)
  • What criteria will you use to measure each of these items?

Communicating these metrics to your painting maintenance supplier will help ensure that everyone is working towards achieving the right levels of quality in their service delivery.

What personnel expertise does your project require?

  • Who are the qualified personnel needed to complete the job?
  • In what timeframe do they need to complete the job?
  • Are there enough personnel to complete the job in the required timeframes and are the personnel of the right skill level to complete the project to the desired level of quality?

What equipment is necessary to complete the project?

  • Is there available equipment to carry out the project in a timely and high-quality manner?
  • Is this equipment in good working order?
  • Have you developed checkpoints to review quality of equipment at different stages of the project?

A planned equipment check is a proactive way of identifying potential quality errors and project timeline miscalculations.

Do you have a dynamic project manager?

  • Is a leader or foreman needed on site to oversee the quality of service delivery?
  • Is the project or site manager dynamic enough to enforce and ensure that quality metrics and deadlines are met?

Is there a thorough review process?

  • What review process is in place to ensure that the right people are assessing quality of services and production at the right time?
