Retirement Village Maintenance Checklist: 5 Questions to Ask when Choosing a Contractor

Maintenance work can be intrusive in any environment – both personal and commercial. And when it comes to the delicate environment of your retirement village, you’ll know all too well that the effects of property maintenance need to be mitigated as much as possible.

When also considering price, quality and compliance, it’s clear that choosing a contractor for property maintenance can be a tricky affair. We have compiled a list for you detailing the necessary questions you need to ask any supplier before accepting their services.

1. Have you previously conducted work within a retirement village?

Any supplier you allow on site should have knowledge of the requirements of working within a retirement village. Your first question should be based on this and give you a clear indication of whether the provider has awareness of working in such a delicate environment. It’s crucial that they have the necessary respect and procedures in place to minimise their on-site disturbance. The better equipped they are to carry out their work discreetly and effectively, the less supervision is required from your side.

2. Can I see a list of referrals?

‘The proof is in the pudding’ as they say, and while any provider might be able to convince you beforehand of their superior services, you need evidence of this. Don’t shy away from asking for referrals from some of their previous clients. You can also directly contact these clients and establish if said provider will be able to meet your specific needs. Should a maintenance provider not be able to furnish you with referrals or refuse to give you contact details, they might have something to hide – definitely not a risk worth taking.

3. How will choosing you save me money?

Property maintenance is ongoing and if you don’t ensure you’re getting the best value for money, you might end up paying your supplier more than you have to. Ask about payment options and any discounts for signing a long-term contract. The more payment plans there are to choose from, the more likely you are to find an option to see to your property maintenance and budgetary needs. Don’t be afraid to ask a supplier if they are willing to create a tailored package to suit your specific maintenance requirements.

4. What experience do you have in property maintenance?

The internet abounds with suppliers and contractors more than willing to deliver their services to you, but are they experienced enough to see to your specific needs? The more experienced your maintenance supplier, the less likely they are to make rookie mistakes that can have serious consequences for village residents.

5. Do you have a viable supply management system in place?

Your supplier is only as good as the supplies they offer you. It’s both financially and operationally beneficial to appoint a contractor with a large network of maintenance product suppliers. This lessens the chances of them not being able to carry out urgent maintenance due to a delay in delivery of supplies. A supplier with a national footprint will offer better management structures, deals with quality providers and lower prices.
